FAQ for organisers

What information do I need to provide for the proceedings proposal?
To submit a proposal, please complete our Proceedings Proposal Form with details about your event. We will review your submission and typically respond within 5 working days. If additional information is required, we will reach out to you. Once we have reviewed your details, we will send a confirmation email letting you know whether we can proceed with your conference proceedings.

I need a quote, but I’m unsure how many people will attend. What should I do?
We understand that estimating attendance numbers before your event can be challenging, and that’s okay. The number of participants does not affect our quote. You can provide your best estimate, and we will proceed accordingly.

What happens after I accept your quote?
Once you accept our quote, we will send you payment details for the proceedings, as well as further instructions for the volume editor to follow.

Should the manuscript be plagiarism-free?
Yes, manuscripts should have a similarity index of no more than 15%. We recommend that conference organizers use their institutional access to iThenticate for plagiarism checks (excluding references).

Should manuscripts be peer-reviewed?
Yes, volume editors must conduct a peer-review process to ensure the quality of the selected papers. The publication decision should be based on the merit of the work, not just because the paper was presented at the conference. Please refer to our peer review guidelines for more details.

Is there a minimum article length?
Yes, we require a minimum of 4 pages per paper. Eduresearch Publications Open Conference Proceedings will not consider publications consisting solely of 1-page abstracts or extended abstracts; such submissions should be published in an Abstract Book instead.

Is there a maximum article length?
No, there is no upper limit on the length of articles for online publication. Our fees are not affected by the number of pages in the proceedings articles. Authors are free to include as much content as necessary, and editors are encouraged to review the material fully.

How long does it take to publish the proceedings?
Once all content has been submitted and formatted consistently, the publication process takes approximately 3-4 weeks for online publication.

Do volume editors see the proofs?
Yes, the volume editor will receive the final proceedings in a single PDF file, including the cover, front matter, and all articles. We will not make the proceedings live online until the editor has formally approved them. Please note, editors should avoid delays in approving the proof for publication.

Can I make changes at the proofreading stage?
Yes, changes can be made during the proofreading stage. However, we ask editors to limit changes to the most essential ones to avoid altering the page count. By the time the proof is sent, extensive copyediting and metadata preparation will have already been completed. A large number of small changes can result in significant additional work, so we recommend ensuring thorough review and editing before submitting manuscripts for production.

What factors affect the publication time?
Several factors can impact the publication time, with the most significant being how thoroughly the volume editor prepares the proceedings before submission. Following our guidelines for formatting and organization will help speed up the process. Other factors include the availability of editors to approve the final version, the number of articles, and the time of year. We will always aim to publish your proceedings as quickly as possible, but careful preparation by the volume editor is key to a timely release.
